Privacy Policy

This policy explains what the JennAI apps and websites collect, why, who we share it with, and what you can do about it. It covers the JennAI resident and staff mobile apps and the JennAI web portals for residents, staff, property owners, and vendors.
1. Who we are
JennAI is a property management platform operated by JennAI LLC, 401 E Colfax Ave Ste 277, South Bend, IN 46617.
JennAI is used by property management companies to run their buildings. Your property management company decides what information is collected about your tenancy and how it is used — they are the controller of that information, and we handle it on their behalf. For most residents using JennAI today, that company is DMTM Property Management. If you are unsure who manages your building, the name is shown in the app and on your lease.
2. What we collect
- Account and identity: your name, email address, phone number, unit, and role (resident, staff, owner, or vendor). This is how we sign you in and connect you to the right home.
- Rent ledger and payment history: your charges, payments, and balance, plus payments you choose to make in the app.
- Payment details: when you pay or save a payment method, the card or bank details are entered directly into our payment processor's own hosted form. We never receive or store your full card number or full bank account number. We keep only a token from the processor plus non-sensitive details such as card brand, last four digits, and expiration date.
- Maintenance requests: what you report, and any photos or videos you choose to attach.
- Messages: messages you send to your property team and to the Jenny assistant, and the replies. See section 4 for how the assistant works.
- Door access activity: when you unlock a door in the app, we record which door, when, and that it was you. When you create a guest pass, we store the guest name you type, the doors and time window you grant, and the pass we issue. Building entry events recorded by the access-control hardware are also stored. This is security and safety information for the building.
- Notifications: if you turn on push notifications, we store a device push token so we can deliver them.
- Sign-in and device records: when you sign in we record your IP address, your browser or device user agent, and a device label, so that you (and your property team) can see and end active sessions. Your IP address is also recorded when you electronically sign a document or submit a rental application, as evidence of consent.
- App diagnostics: the mobile app sends us basic error and performance information — a random install identifier, which screen or operation was involved, a status code, app version, operating system version, and device model. It is not linked to your account and contains no message content.
- Bank account information (staff and owners only): property managers and owners who connect a business bank account do so through Plaid. This is read-only and used to reconcile bank activity against the accounting records. Residents are never asked to connect a bank account this way.
3. How we use it
We use your information to operate your tenancy with your property management company: to sign you in, show your ledger and take your rent payment, handle maintenance, deliver messages and notifications, operate building access, keep accurate financial records, and meet legal, tax, and regulatory obligations. We also use it to keep accounts secure and detect fraud.
We do not sell your personal information. We do not share it for advertising. We do not use third-party advertising or analytics SDKs in the JennAI apps or websites, and we do not track you across other companies' apps or websites.
4. The Jenny assistant and AI
JennAI includes an assistant called Jenny that can answer questions about your tenancy. To write a reply, your message is sent to our AI provider, Anthropic, together with recent conversation history for your account — which can include earlier text messages and records of calls with the property team, so the answer makes sense in context.
Messages you send in the app are stored on our systems and are visible to your property team. Our AI provider processes this information to generate the reply for us; it is not used to advertise to you.
5. Who we share it with
We share your information with your property management company, which uses JennAI to manage your building. Beyond that, we share only with service providers that help us run the service, and only for that purpose:

We also disclose information when the law requires it — a subpoena, court order, or similar legal process — or to protect our legal rights or someone's safety. If the business is ever merged, acquired, or sold, information may transfer as part of that transaction.
6. How we protect it
- Everything sent between your device and our servers travels over an encrypted connection (TLS).
- Our databases and file storage are encrypted at rest by our hosting providers.
- Particularly sensitive fields are additionally encrypted by us before they are stored, so they are unreadable without a key held only in our running system. This covers Social Security numbers on rental applications, bank account and tax identification numbers for vendors and owners, two-factor authentication secrets, and the credentials we hold for the services in section 5.
- Access is limited by role, so staff only see what their job requires, and sensitive staff actions are logged.
- You can review your active sign-in sessions and end any you do not recognize.
Photos you attach to a maintenance request are stored with our file-storage provider and reached through a private link that stays valid for up to a year, so that your property team can open it while the work is in progress. Treat those links as sensitive and avoid forwarding them.
No system is perfectly secure, and we cannot guarantee absolute security.
7. How long we keep it, and deleting your account
How long each kind of record is kept is set out in our Data Retention Policy. Financial and lease records are generally kept for seven years to meet tax and legal obligations.
You can request account deletion by email, or from inside the iPhone app under your account settings (the Android app does not yet offer in-app deletion — email us instead). Here is exactly what happens, so there are no surprises:
- Immediately: your login is switched off and you are signed out on every device.
- After 30 days: your login identity is permanently erased — your sign-in credentials, saved sessions, passkeys, device push tokens, and saved app preferences.
- Retained: your resident records — contact details, lease, rent ledger, maintenance history, and communications — are kept, because your property management company needs them for the lease and for financial and legal obligations. Deleting your login does not delete your tenancy records.
Staff accounts are managed by the organization and cannot be self-deleted from the app; contact your administrator.

8. Your choices and rights
- Ask for a copy of the personal information we hold about you.
- Ask us to correct anything that is wrong.
- Request deletion, as described in section 7 and subject to the records we must keep by law.
- Turn push notifications off in your device settings, and reply STOP to any text message to stop texts.
- Owners and staff can disconnect a linked bank account at any time.
Because your property management company is the controller of your tenancy information, we may pass your request to them so they can act on it. To make a request, email privacy@jennai.us.
9. Children
JennAI is a tool for adults managing a tenancy, and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it. Accounts are intended for adults who are party to a lease.
10. Where information is handled
JennAI is operated from the United States, and information is stored and processed there.
11. Changes to this policy
We may update this policy. If a change materially affects you, we will tell you by email or in the app. The "Last updated" date at the top always reflects the current version.
